What You'll Do Key Responsibilities As a Customer Service Representative at arenaflex, you will provide comprehensive customer service support for our Review Team, handling a variety of essential activities that directly impact the lives of beneficiaries and the efficiency of our operations. Your responsibilities will include Correspondence Management Responsible for typing, merging, proofing for clarity, printing, and mailing all correspondence in a timely and accurate manner. You will ensure every letter meets our high standards for grammatical accuracy, proper spacing, and professional presentation. Customer Communication Communicate verbally and in writing with external customers to furnish and request review information. You will serve as a knowledgeable, courteous point of contact for beneficiaries, providers, and other stakeholders seeking assistance. Relationship Building Foster effective working relationships between arenaflex's internal and external customers, promoting collaboration, trust, and open communication across all touchpoints. Process Improvement Assist with and actively participate in the Review Team's efforts to identify areas for potential improvement, as noted on case reviews and process evaluations. Your insights will help shape more efficient, effective workflows. Beneficiary Helpline Support Answer the Beneficiary Helpline through the utilization of the hunt group and available light functions. You will determine how to best assist each caller, whether by offering a service provided by arenaflex or by referring them to an external agency, and properly enter referrals into the CMS system. Quality Assurance Ensure all letters are sent out in a timely manner with correct components included and reviewed for grammatical and spacing errors. You will utilize internal quality control tools to assess individual work and team processes, maintaining the highest standards of accuracy. Medical Records Management Obtain and validate notices and all components of medical records, ensuring completeness and compliance with organizational and regulatory standards. Appeals Intake Provide intake for all appeals received by arenaflex, carefully documenting and processing each case with attention to detail and adherence to established procedures. Customer Service Excellence Demonstrate proficiency in customer service guidelines and standards, consistently delivering a positive, solution-oriented experience for every interaction. Multi-Tasking and Prioritization Effectively manage multiple priorities in a fast-paced environment, balancing competing demands while maintaining accuracy and composure. What You'll Need Essential Qualifications To succeed in this role, candidates should possess the following qualifications and attributes Education High school diploma or equivalent required. Post-high school business courses are helpful and may be considered a plus. Medical Knowledge Medical terminology knowledge is desired, as you will be working with healthcare-related correspondence and records on a daily basis. Communication Skills Excellent verbal communication skills with a courteous and patient demeanor. You must be customer-oriented and have the ability to maintain composure under potentially stressful situations. Written Communication Strong grammar, punctuation, spelling, hyphenation, and written communication skills are essential for producing polished, professional correspondence. Interpersonal Skills Customer-focused, results-oriented, and capable of building and maintaining relationships with internal and external customers. Must be flexible and able to work as a team member while supporting team decisions. Technical Proficiency General knowledge of PC-based computer systems is desirable, along with familiarity with various software packages and the ability to learn additional software as needed. Organizational Skills Must be able to multi-task, prioritize assignments effectively, and work independently with minimal supervision. Preferred Experience In addition to the essential qualifications, we prefer candidates with the following experience Two to three years of clerical experience, including word processing, various filing systems, and telephone customer service responsibilities. Prior work in a healthcare setting or familiarity with medical terminology is highly recommended. Previous data entry or other clerical experience is a plus.
