Position Summary:

We’re seeking a highly organized and service-oriented Scheduling Coordinator to support our dynamic nurse staffing operations. This role is essential in maintaining seamless schedule coverage by managing real-time scheduling issues, coordinating shift assignments, and acting as a key point of contact for both nurses and clients.

You’ll field schedule-related calls and requests, fill open shifts based on nurse qualifications and preferences, and ensure we’re delivering timely, reliable service. You must be calm under pressure, detail-oriented, and a critical thinker with excellent communication skills.


What you'll do

  • Respond promptly to inbound calls and messages from both nurses and clients regarding schedule changes, shift call-outs, or coverage needs
  • Assess urgency and respond to issues in real-time, escalating or routing to appropriate representative/department as needed
  • Match nurses to open shifts based on skill sets, certifications, location, experience, availability, and preferences
  • Maintain accurate and up-to-date schedules across internal systems
  • Document all changes and communication in the appropriate platforms for transparency and tracking
  • Communicate shift confirmations or changes to both internal stakeholders and external partners
  • Identify and flag patterns or recurring issues that require process or policy attention
  • Deliver a high level of customer service with empathy and professionalism under time-sensitive conditions

Who you are

  • 2+ years of experience in scheduling, staffing coordination, healthcare operations, or a similar role
  • Excellent phone and written communication skills with a customer-first attitude
  • Strong organizational and data entry skills with keen attention to detail
  • Proven ability to prioritize and solve problems quickly in a fast-paced environment
  • Comfortable using scheduling software, CRMs, or workforce management platforms
  • Ability to multitask and manage competing priorities with sound judgment
  • Knowledge of healthcare staffing or clinical settings is a plus
  • Availability during weekends (Sat/Sun 8am-6pm) as scheduled.

Preferred (but not required):

  • Experience in private duty nursing or home health.
  • CNA, MA, RN or other healthcare-adjacent experience a plus.
  • Familiarity with HIPAA and healthcare communication protocols.
  • Locally-based (Greater Phoenix area) preferred
