Job Summary

Houston Skilled Consultancy is seeking a highly organized and proactive Virtual Office Assistant to support our administrative operations remotely. This role is ideal for a detail-oriented individual who thrives in a virtual work environment and is passionate about delivering exceptional administrative support. As a Virtual Office Assistant, you will handle a variety of clerical and administrative tasks to ensure smooth day-to-day office functions while working from the comfort of your home.

Key Responsibilities

  • Manage and organize electronic files, documents, and correspondence.

  • Schedule and coordinate meetings, appointments, and virtual conferences.

  • Handle inbound and outbound communications including emails, phone calls, and messages professionally and promptly.

  • Assist in preparing reports, presentations, and other office documentation.

  • Maintain databases and update records accurately.

  • Support the team with data entry, research, and other administrative tasks as needed.

  • Coordinate with different departments to ensure timely completion of projects and tasks.

  • Monitor office supplies and assist in ordering as required.

  • Maintain confidentiality and ensure data security in all administrative activities.

  • Perform other ad hoc duties to support business operations.

Required Skills and Qualifications

  • Proven experience as an administrative assistant or virtual office assistant is preferred.

  • Proficient in MS Office Suite (Word, Excel, PowerPoint) and Google Workspace (Docs, Sheets, Calendar).

  • Excellent written and verbal communication skills in English.

  • Strong organizational and multitasking abilities with attention to detail.

  • Ability to work independently with minimal supervision in a remote setting.

  • Reliable internet connection and a suitable home office setup.

  • Time management skills and ability to prioritize tasks effectively.

Experience

  • Minimum 1-2 years of experience in administrative or virtual assistant roles is preferred but not mandatory. Freshers with strong computer skills and a proactive attitude may also apply.

Working Hours

  • Full-time or part-time positions available.

  • Flexible working hours, typically Monday to Friday, 9:00 AM to 6:00 PM (IST) or as agreed upon.

  • Ability to occasionally attend meetings outside standard hours may be required.
