About the role

We are currently looking for responsible, organized, and detail-oriented individuals to join our team as Admin Executive / Admin Assistant. There are two available admin positions: Sales Admin and Warehouse Admin.

The successful candidates will support daily administrative operations, including sales documentation, customer coordination, warehouse documentation, inventory records, data entry, and internal coordination. Candidates may be assigned to either the Sales Admin or Warehouse Admin role based on their experience, strengths, and company requirements.

Responsibilities

Sales Administration

  • Prepare, process, and maintain sales-related documents, including sales orders, quotations, invoices, delivery orders, purchase orders, and other relevant records.
  • Coordinate with customers, sales personnel, warehouse team, and internal departments to ensure smooth order processing and timely delivery arrangements.
  • Follow up with customers and internal teams regarding order status, delivery schedules, documentation, and payment-related matters when required.
  • Update and maintain accurate customer information, sales records, transaction documents, and filing systems.
  • Assist in preparing sales reports, order summaries, and other administrative updates for management review.
  • Support the sales team in daily administrative tasks and ensure proper documentation flow.

Warehouse Administration

  • Prepare, check, and maintain warehouse-related documents such as delivery orders, goods received notes, stock transfer forms, inventory records, and warehouse reports.
  • Coordinate with the warehouse team on incoming and outgoing goods, stock movement, delivery arrangements, and documentation accuracy.
  • Assist in monitoring inventory records and ensuring stock movement is updated accurately in the system.
  • Support stock checking, stock reconciliation, inventory updates, and warehouse reporting.
  • Liaise with suppliers, transporters, customers, and internal departments regarding goods receiving, delivery, and logistics arrangements.
  • Ensure warehouse documents are properly filed, organized, and updated for easy reference and audit purposes.

General Administration

  • Perform accurate data entry and maintain records in the company system.
  • Handle general administrative duties, documentation, filing, and office support tasks.
  • Ensure all documents are complete, accurate, and submitted within the required timeline.
  • Work closely with different departments to support smooth daily operations.
  • Carry out any other duties or ad-hoc tasks as assigned by management.

Requirements

  • Minimum SPM, Diploma, or equivalent qualification in Business Administration, Logistics, Supply Chain, or related fields.
  • Previous working experience in sales administration, warehouse administration, inventory control, logistics, customer service, or related administrative roles will be an added advantage.
  • Fresh graduates are encouraged to apply as training will be provided.
  • Proficient in basic computer applications, especially Microsoft Excel, Microsoft Word, email, and data entry systems.
  • Good communication skills in Bahasa Malaysia and English, both written and spoken.
  • Able to communicate in Chinese will be an added advantage.
  • Responsible, organized, detail-oriented, and able to follow up on tasks independently.
  • Able to work under pressure and handle multiple tasks in a fast-paced working environment.
  • Good coordination skills and able to work effectively with customers, suppliers, transporters, warehouse team, sales team, and internal departments.
  • Possess a positive working attitude, willingness to learn, and strong sense of responsibility.
  • Able to work 5.5 days per week.

  • 5.5 days per week
  • Monday to Friday: Full day
  • Saturday: Half day
